Privacy Statement
This is the Privacy Statement of Venuesuite B.V. (“Venuesuite”, “we”, “us” or “our”), Blokhoeve 5, 3438 LC Nieuwegein, operator and data controller of Venuesuite.com. In this statement, Venuesuite explains how it handles personal data of its business contacts and users of its software applications (“venues”, “contacts”, “users”, “you” or “your”).
We value your privacy highly. For this reason, this statement explains how we process your personal data, i.e. data that can identify you as an individual (“personal data”).
This Privacy Statement applies to our full range of services as well as all our websites, software applications and related services and functionalities. We reserve the right to amend this statement at any time. The current version will always be published on our website.
What personal data do we collect and how is it processed?
When you use our services, we collect your personal data. This occurs in two ways:
Actively: when you provide it to us yourself (e.g. by entering your details).
Passively: when we collect it automatically (e.g. your IP address, browser type, etc.).
You are not obliged to provide us with your personal data. However, if you choose not to provide (complete) information, this may negatively affect the scope and quality of the services we can provide to you.
We may process the following personal data, among others: first and last name, gender, date of birth, address details, telephone number, email address, IP address, location data, information on your activities on our website, information about your browsing behaviour, internet browser and device type, bank account number.
We generally do not process special categories of personal data. Should we do so, it will always be within the boundaries of the law.
We only process your personal data with your consent and/or because it is necessary for the performance of a contract with you and/or to comply with a legal obligation and/or to protect vital interests and/or to perform a task carried out in the public interest and/or to pursue our legitimate interests, unless your interests override ours.
We may use technology for automated decision-making or profiling. We do not make automated decisions that could disproportionately affect your rights or interests.
Why do we use your personal data?
We use your personal data, among other purposes, to:
inform you about our products and services;
provide our products and services to you;
optimise our products and services, and to improve service delivery and user experience;
inform and advise you about products and services of our partners (venues, suppliers);
maintain contact with you;
detect fraud, illegal and unlawful activities;
comply with laws and regulations.
Who has access to my data?
Your personal data is not only used internally but, where necessary to achieve the above objectives, may also be shared with our suppliers and partners with whom we have concluded written data processing agreements. Unless we are legally obliged to do so, we will not share your personal data with third parties beyond these purposes. We do not have the right to sell your personal data to third parties.
Some non-confidential data and/or content you have placed in your content management system (CMS) may be published on the public part of our website(s), and therefore accessible to visitors. If you do not wish this, you may notify our Privacy Coordinator.
How is my personal data stored?
Your personal data is stored within the EU and will not be shared by us with companies or institutions outside the EU, unless we are legally compelled to do so.
We take appropriate technical and organisational measures, in accordance with the state of the art, to protect your personal data. These include:
collecting no more data than is necessary for our purposes;
restricting internal access to your data to those who genuinely require it;
ensuring strong physical and digital security of your data externally;
working only with partners and suppliers who comply with EU legislation and privacy requirements.
How long is my personal data retained?
We retain your personal data for as long as necessary for the purposes described above. In principle, we retain it for the duration of your licence and up to a maximum of two years thereafter. This may differ if required by law or if circumstances necessitate it. After the relevant period, your personal data will be securely deleted from our records.
How can I access, manage or delete my personal data?
We make every effort to keep your personal data accurate and up to date. You should therefore notify us of any changes without delay or update them yourself in the content management system (CMS).
You have the legal right to access, manage and/or delete your personal data. If you wish to view your data (or receive a copy), rectify, supplement and/or erase it wholly or partly, or transfer it to a third party (data portability), you may request this from us at any time. You may also request us to restrict or cease processing your data. If the processing is based on your consent, you may withdraw that consent at any time. Please note: if you request us to (partially) delete your data, restrict or cease processing, or withdraw your consent, this may negatively affect the scope and quality of the services we provide to you.
Third-party privacy policies
This Privacy Statement only applies to how we handle your personal data. We are not responsible for the practices of third parties with whom you may come into contact, whether or not via us, our website or software applications. Third parties may apply different privacy policies. If you provide your personal data to anyone other than us, we recommend you first carefully review their privacy policy.
Cookies and similar technologies
We use cookies and similar technologies on our website (small files sent with web pages and stored on your computer. Information stored therein can be sent back to our servers during subsequent visits). More information can be found in our Cookie Statement.
Breach and misuse
We do not tolerate misuse, fraud and/or other unlawful, socially undesirable or illegal activities in any form. It is prohibited to process (personal) data from us, our websites, our software applications, etc. without our prior written consent.

Once your message has been received by the Privacy Coordinator, you will receive confirmation as soon as reasonably possible. Our aim is to respond substantively within one month. In exceptional circumstances, this period may be extended to three months.
